Professional Executive Assistant
The Land Peace Foundation is seeking an experienced Professional Executive Assistant to help us run our diverse programs and contribute to the overall success of the organization.
We are looking for a highly competent, reliable, staff member who possesses a strong work ethic and is a clear communicator, with substantial experience in administrative support, and a demonstrated capacity to follow assigned tasks through to completion.
The candidate must be available to work on average 3 days in-person, at Wicuhkemtultine Kinship Community in Monroe, Maine, and be available 5-6 days a week when we are hosting large events (approximately 6 events that take place during the months of June-December). The primary in-person workdays for this position are Mondays, Tuesdays, and Wednesdays. However, flexibility is required including some weekends, to support with events. Depending on the needs and demonstrated capacities of the applicant, there may be an option to expand this position to fill a 4-day workweek.
Brief Description
The position of Professional Executive Assistant consists of providing competent administrative support to the Executive Director, Operations Manager, and Land-Based Programs Manager, as needed. This will include administrative and clerical support to ensure effective and efficient operations, high quality desktop publishing, social media management, updated computer literacy skills, digital scheduling and coordination, and good time management. The right candidate will be able to follow direction and work independently and as part of a team.
Compensation: Pay Hourly $30-$35 per hour depending on experience. Benefits Medical, a dental and vision reimbursement program, as well as sick and vacation time up to two weeks can be earned.
Tasks
Be the first point of contact for the organization, utilizing welcoming and respectful communication and representing the organization in a professional manner.
Manage an efficient flow of communication into and out of the organization.
Provide support for all organizational programs.
Oversee and report back on the status of projects, as assigned.
Monitor and answer or forward, as appropriate, the Land Peace Foundation general email, alerting the staff to any immediate or urgent matters as soon as they are received.
Manage organizational contact sheets in a shared google drive.
Assist with the coordination, preparation and execution of events.
Answer phone calls and questions and provide clearly communicated notes to Operations Manager, Land-Based Programs Manager, or Executive Director as appropriate and in a timely manner.
Organize and manage the company calendar and appointments.
Email a weekly report regarding the status of assigned tasks at the end of the work week to both the Operations Managers and Executive Director.
Take and transcribe meeting notes.
Organize quarterly board meetings.
Keep board meeting minutes and disseminate them to the board for approval.
Maintain inventory of blank documents, such as reimbursement forms/vacation requests..
Maintain our general filing system.
Manage communication with other vendors as assigned.
Schedule zoom meetings for meetings, fellowship programs, and other training programs, as well as large gatherings.
Respond to social media inquiries in a manner that is respectful and reflective of the organizational culture and tone.
Assist with the maintenance of a clean workspace.
Assist with functional set-up and break-down for events.
Qualifications and requirements
Bachelor’s Degree or 5 years progressive professional experience in this role.
Driver’s license

Youth/Student Development and Outreach Coordinator
Purpose: Working with current infrastructure at the Land Peace Foundation, the University of Maine
and the University of Maine-Presque Isle, the Youth Development and Outreach Coordinator will
develop, coordinate, and assess a new program for Wabanaki student recruitment and development in
Food, Agriculture, Natural Resources, Human Science (FANH), and education disciplines. The
Coordinator will work with the Wabanaki Youth in Science (WaYS) program, Tribal education
directors, University of Maine and University of Maine-Presque Isle science education programs in
partnerships with the Wabanaki Tribal Nations in the state (Penobscot, Passamaquoddy, Maliseet, and
Micmac) as it relates to K-12 students.
Essential Duties & Responsibilities:
The essential duties of this position require the development of outreach and retention programs for
Native American students throughout the State of Maine, with an emphasis on student development
in Aroostook County and recruitment to the University of Maine and the University of
Maine-Machias. The position will work with the Wabanaki Youth in Science (WaYS) Program to
develop culturally relevant science and education programs, both on and off campus, for prospective
middle and high school students. This position will also serve as the lead in developing
UMaine-Presque Isle on-campus programs for Native American Student retention efforts, in
accordance with the recently awarded New Beginnings for Wabanaki Students grant from the USDA.
Other essential duties include the ongoing strategic development of the Native American student
programs based on the needs of tribal students and communities. This position is also responsible for
assisting in grant applications to support this ongoing program development. In addition to these
essential duties, the position will also require ongoing communication with a variety of tribal and
educational partners. The person will also be required to work effectively and cooperatively with the
University of Maine, University of Maine-Presque Isle, WaYS, Tribal communities, and external
parties to perform other reasonably related duties as assigned.
Knowledge & Skill Qualifications:
Required:
· The minimum level of education is a Bachelor’s degree in Education or relevant field
related to Native American education or an equivalent combination of education and
experiences.· Three to five years of experience in science and/or Native education.
· Familiarity with university student development and Wabanaki tribal communities.
· Demonstrated knowledge with program development and outreach is critical.
· Ability to travel, normally requiring a driver’s license.
Supervisory Responsibility: Occasional supervision, for major events and activities, in
collaboration with LPF education staff, the Wabanaki Center at the University of Maine, WaYS, and
other education programs impacting tribal youth.

Work Year: Fiscal year, full time, 32 hours/week.
Work Schedule: Normal business hours are Monday through Friday 8:00 a.m. to 4:30 pm. Due to
the nature of the position, work beyond regular hours (to include evenings and weekends) will be
necessary to meet the requirements of the position. The employee shall establish regular office hours
and in consultation with the leadership of LPF and the Wabanaki Center, adjust the work schedule as
appropriate.
Position Type: Soft Money Grant funded. Contingent on funding and successful performance.
Compensation: Salary: $60,000 to $64,645 per year depending on experience. Benefits: Medical, a dental and vision reimbursement program, as well as sick and vacation time up to two weeks can be earned.
Schedule for Evaluation: In the initial six months of employment and annually thereafter in
accordance with the UMPSA agreement.
